Platform role
Optimized Rentals provides software for rental property management, tenant applications, rental records, condition reports, communications, tenant database workflows, notifications, and related tools. We are not a landlord, tenant, property manager, law firm, adjudicator, credit bureau, insurer, or real estate broker.
The platform may help organize information, but users are responsible for their own rental decisions, compliance obligations, notices, documents, screening criteria, communications, and legal choices.
Accounts and responsibilities
You must provide accurate account information, keep your credentials secure, and only access organizations, properties, tenants, applications, or records you are authorized to access. Organizations are responsible for actions taken by users they invite or authorize.
Landlords and property managers must comply with applicable residential tenancy, privacy, human rights, fair housing, consumer protection, and screening laws. Tenants must provide accurate application information and may only submit information they are authorized to share.
Tenant database and screening records
The tenant database is intended to support factual rental-history signals, including verified landlord reference routes and source-validated public legal decisions. Submissions must be truthful, relevant, and supported by appropriate evidence. We may review, reject, hide, remove, or limit submissions at our discretion.
You may not use tenant database information to harass, retaliate, unlawfully discriminate, publish private information, or make decisions prohibited by applicable law. Optimized Rentals does not guarantee that a search result is complete, current, accurate, or sufficient for any rental decision.
User content and documents
You retain responsibility for information, documents, photos, messages, reviews, legal decisions, and other content you submit. You grant Optimized Rentals the rights needed to host, process, display, transmit, analyze, secure, back up, and operate that content as part of the service.
You must not upload unlawful, misleading, defamatory, discriminatory, abusive, infringing, malicious, or unauthorized content. You must not upload sensitive information unless it is necessary for a rental workflow and you are authorized to provide it.
Acceptable use
You may not misuse the platform, attempt unauthorized access, scrape or harvest data, interfere with service operation, bypass security controls, reverse engineer the service, use the platform for spam, or use the platform to violate another person's rights.
We may suspend or terminate access, remove content, limit features, or preserve records if we believe there is misuse, legal risk, security risk, non-payment, or violation of these terms.
Subscriptions and billing
Some features may be free, trial-based, usage-limited, or paid. Paid plans, unit caps, trial periods, renewal settings, taxes, and billing features may vary by account type and plan. Pricing and plan features may change with notice where required.
Third-party payment processors may handle payment information. We do not control third-party processor terms, availability, fees, or security practices.
Disclaimers and limitations
The platform is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted service, complete data accuracy, successful tenant screening, legal outcomes, payment recovery, tenant behavior, or suitability of any user, applicant, property, or record.
To the maximum extent permitted by law, Optimized Rentals and its affiliates, officers, employees, contractors, and service providers will not be liable for indirect, incidental, consequential, special, exemplary, or punitive damages, or for loss of profits, data, goodwill, or business opportunities.
